Submissions

The Submissions page lets you view, manage, and export all responses collected by a form.

Table View

Submissions are displayed in a paginated table with 15 entries per page. Each row shows:

  • Submitted At — The date and time the submission was received.
  • Read Status — A visual indicator showing whether the submission has been read.
  • Preview — A summary of the submitted data.

Expanding Submission Details

Click any row to expand it and see the full submission data. All field labels and their corresponding values are displayed. Expanding a submission automatically marks it as read.

File Uploads

If the form includes file upload fields, the submission detail shows the file name, size, and MIME type. Files are accessible via secure signed download URLs that ensure only authorized users can access uploaded files.

Read/Unread Status

Submissions start as unread when they first arrive.

  • Expanding a submission marks it as read automatically.
  • Toggle read/unread on individual submissions using the actions menu.
  • Bulk mark as read/unread by selecting multiple submissions.

Use the read/unread filter at the top of the page to focus on new submissions.

Search and Filter

  • Search — Type in the search box to filter submissions by any text in the submitted data. The search applies across all field values.
  • Read Filter — Filter to show only read submissions, only unread submissions, or all.
  • Sorting — Click column headers to sort by submission date (ascending or descending).

Bulk Actions

Select multiple submissions using the checkboxes to perform bulk actions:

  • Mark as Read — Mark all selected submissions as read.
  • Mark as Unread — Mark all selected submissions as unread.
  • Delete — Permanently delete selected submissions (requires confirmation).

Use the "Select All" checkbox to select all submissions on the current page.

CSV Export

Click Export CSV to download all submissions for the form as a CSV file. The export includes:

  • Submitted date and time
  • Read status
  • All form field values
  • IP address, user agent, and referrer metadata

For file upload fields, the CSV includes signed download URLs for the files.

The CSV filename follows the pattern: your-form-slug-submissions-YYYY-MM-DD.csv

Submission Quota

Submissions are always stored, even if you exceed your plan's monthly quota. RapidForm never drops or rejects submissions.

However, when you are over your quota:

  • You cannot expand submission details.
  • CSV export is disabled.
  • An upgrade prompt is displayed.

Deleting Submissions

Individual submissions can be deleted from the actions menu. Bulk deletion is available when multiple submissions are selected. All deletions require confirmation. Deleted submissions cannot be recovered.

Only workspace owners and editors can delete submissions. Viewers can view and search submissions but cannot modify or delete them.
